JOB SUMMARY
The HR Generalist Sr. position is an advanced position in the Human Resources Department. This position requires a clear understanding and practice of KMM’s mission, vision, values and goals, as well as federal and state employment related rules and regulations. The HR Generalist Sr. should have an intimate knowledge of KMM’s policies and procedures with the ability to relay these requirements in a fair and unbiased manner. The HR Generalist Sr. will be responsible for assisting with all tasks related to Human Resources which will include recruitment, new hire on-boarding & orientation, records management, benefits orientation (including unemployment insurance and workers’ compensation), compensation, employee performance management, compliance, employee relations, federal and state reporting requirements and workplace safety. It is imperative that the HR Generalist Sr. stay abreast of legislative changes and continuously advance their knowledge and expertise by attending HR seminars and conferences. As a member of the Human Resources department, the HR Generalist Sr. is required to exhibit a positive and supportive attitude, lead by example, and exhibit integrity and professional conduct at all times.
ESSENTIAL JOB FUNCTIONS
- Recruiting, On Boarding, & New Hire Orientation.
- Initiate all recruitment, on-boarding and new hire orientation activities as needed.
- Assist in developing staffing strategies.
- Assist in developing and implementing hiring processes and screening for a variety of levels from temporary staffing to executive placement.
- Evaluate the effectiveness of current staffing systems, tracking, reporting, and method of analysis.
- Report quarterly on turnover trends and applicant sourcing.
- Complete reference and background checks.
- Review and update job descriptions prior to posting jobs.
- Assist in the identification of sourcing and recruiting initiatives and processes to leverage networking and employee referrals.
- Build and enhance relationships with recruiting agencies and programs including work-study and internships.
- Records Management
- Complete accurate entry of applicant and employee information into designated HRIS.
- Assist in maintaining electronic employee records by scanning and saving documents into the appropriate folders.
- Assist in updating records when needed including HRIS and other electronic records.
- Benefits
- Take a lead role in the administration of all health and welfare benefit plans including new enrollment, open enrollment, and termination of benefits.
- Process enrollment, change, and termination documents.
- Schedule and present Benefit education to employees regarding the benefits programs.
- Assist employees with questions, concerns, or problems with benefit issues; Assist with COBRA administration.
- Assist HR Generalist with review of monthly invoices to ensure accuracy.
- Serve as a liaison with various insurance carriers and foster effective relationships with client representatives.
- Assist in evaluation of current benefit plans offered along with recommendations on those plans.
- Assist in the renewal process for all benefit plans.
- Assist HR Generalist with filing, reporting, and responding to unemployment insurance and workers’ compensation claims.
- Compensation
- Assist in development of salary matrixes.
- For positions/departments where established salary matrixes are in place; assist in assuring compliance and employee education.
- Assist in entry of salary changes and adjustments into HRIS system.
- Employee Performance Management
- Assist in career development planning for KMM employees.
- Provide guidance and recommendations in the following matters:
- Performance reviews and Disciplinary actions including warnings and terminations.
- Assist in the development, implementation, and facilitation of employee training.
- Compliance
- Assist in ensuring compliance with all local, state, and federal employment laws and regulations.
- Assist in ensuring compliance with all company policies and procedures.
- Provide guidance to Human Resources Generalist and managers/supervisors as needed on compliance related issues in a prompt manner.
- Consult with Human Resources Director on problems or compliance related issues in a prompt manner.
- Recommend and/or implement solutions to potential or identified issues.
- Employee Relations
- Develop positive working relationships with KMM employees, supervisors, and leaders.
- Assist and support supervisors, leaders, and managers in their responsibilities on personnel matters.
- Perform investigation of employment related issues, taking role of lead investigator when needed.
- Provide excellent customer service to all KMM employees being fair and following established procedures, instructions, and work practices.
- Work Place Safety
- Assist with new hire, random, reasonable suspicion drug and alcohol testing per KMM policy.
- Wear appropriate personal protective equipment as required by job tasks.
- Adhere to all KMM safety policies and practices, as well as manufacturer recommendations for operation of all equipment and tools.
- Ensure all safety concerns are reported to the appropriate personnel, Safety Coordinator, and HR Director
- Ensure all work-related injuries are documented and reported within 24 hours of injury.
- Ensure OSHA reports are completed and posted per Federal guidelines.
- Assist in investigations of injuries and safety violations.
- Terminations
- Assist with the termination process of employees ensuring compliance with all established KMM polices, work practices, and instructions.
- Provide guidance and recommendations to managers and supervisors regarding involuntary terminations.
- Complete EEO Reports and Vets Report in a timely manner; assist with creating and updating KMM’s Affirmative Action Plan.
- Maintain confidentiality on all personnel and payroll matters and information.
- Provide direction and guidance to Human Resources Generalist as needed.
- Seek direction and guidance from Human Resources Director when needed.
- Career development/Continuing Education- stay current on legislative & regulatory issues related to Human Resources and seek out continuing education opportunities to advance knowledge base & competency.
- Communicate all potential containment or compliance issues immediately.
- Fill in for HR Director (supervisor) on interim basis when assigned due to vacation or other absence.
- Perform other related duties as assigned
EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES
- A Bachelor’s degree in human resources or related field and four (4) years of Human Resources experience, OR
- A Master’s degree in Human Resources Management and one (1) year of Human Resources experience, OR
- Any appropriate combination of education and experience with PHR or SPHR Certification.
- The ability to manage positive interactions to provide service to internal and external stakeholders to support KMM.
- The ability to provide guidance and direction to internal and external stakeholders of KMM.
- The ability to contribute to initiatives and processes within KMM.
- The ability to value and consider perspectives, opinions, and backgrounds of all internal and external stakeholders.
- The ability to role model KMM core values, integrity, and accountability while representing KMM.
- The ability to perform critical evaluation of information in a fair and unbiased manner to make business decisions and recommendations.
- The ability to understand and apply information from other departments within KMM in order to contribute to the overall well-being of KMM.
- The ability to independently organize and complete assigned job duties with minimal supervision.
- The ability to communicate (verbally and written) fluently in the English language.
- Proficient and comfortable with the use of computer software and hardware.
- Must be able to travel and have a valid driver’s license with a clean record; must maintain driver privileges during KMM employment.
- Requirements may be modified at the time of the opening, and will be based on current labor availability and staffing needs. In these instances, the employee must be able to meet all requirements within 180 days of accepting the position.
EQUIPMENT AND MACHINERY USED
- This position requires the daily use of a computer and computer related software. The employee must be able to accurately and proficiently enter and retrieve data as needed for the job tasks.
- Standard office equipment such as copiers, calculators, etc. will be used
- Must be able to operate a vehicle for occasional travel to various KMM facilities to perform the functions of the job.
PHYSICAL REQUIREMENTS
- The HR Department can be demanding and stressful at times, this position requires the ability to understand and work through the demands, stress as needed, and set the example for behavior in doing so.
- Frequent travel to various KMM facilities to perform the functions of the job is a primary function. The employee must have a current driver’s license and ability to drive personal vehicle or KMM vehicle.
- This requires the mobility, stamina and ability to deal with stressful situations, travel and to work flexible hours when needed to support employees and programs.
- This position requires the ability to sit for long periods when needed as well as the ability to move freely throughout the facilities.
- Must have the ability to read, follow and understand instructions as well as have the motivation to learn multiple functions and do them in a timely and accurate manner.
KMM strives to have a paperless system whenever possible and to accomplish this, HR employees must have the ability to use a computer and computer related equipment.
